Material Handling Division Administrator - Oahu


We are seeking a skilled Administrator to support our Material Handling Division, specifically focusing on heavy machinery. The ideal candidate will have a strong administrative background, with experience in managing logistics, inventory, and documentation related to heavy machinery operations. This role requires attention to detail, excellent organizational skills, and the ability to multitask effectively in a fast-paced environment.

Essential Functions:

    1. Administrative Support:
      • Provide administrative assistance to the Material Handling Division
      • Maintain accurate records and databases related to inventory, equipment, and customer information.
      • Prepare reports and other documentation as needed by the division.

    2. Documentation Management:
      • Maintain comprehensive documentation related to heavy machinery, including equipment manuals, warranties, and service records.
      • Ensure compliance with regulatory requirements and industry standards regarding documentation and record-keeping.
      • Assist in the preparation of documentation for equipment.

    3. Customer Support:
      • Serve as a point of contact for customers regarding inquiries, orders, and service requests related to heavy machinery.
      • Coordinate with sales and service teams to address customer needs promptly and professionally.
      • Maintain positive relationships with customers to enhance satisfaction and promote repeat business.

    4. Team Collaboration:
      • Collaborate with colleagues across departments, including sales, operations, and service, to support the overall objectives of the Material Handling Division.
      • Participate in team meetings, providing input and assistance as needed to drive divisional goals forward.


Knowledge, Skills and Abilities:

  • High school diploma or equivalent; additional education or training in administration or business management is preferred.
  • Proven experience in an administrative role, preferably in a similar setting.
  • Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Ability to prioritize tasks and manage time effectively.
  • Attention to detail and accuracy in record keeping.
  • Ability to work independently with minimal supervision.
  • Knowledge of basic accounting principles is a plus.
